Course management FAQs
How scheduling, presenters, reminders and attendance work in Teachbox. Want to see it with your own courses? We’d love to show you.
Book a DemoCan one course mix in-person, live online and self-paced sessions?
Yes. A course in Teachbox is made up of sessions, and each session has its own format, date, venue or meeting link and presenter. So a blended programme might open with a classroom day, continue with self-paced eLearning modules and finish with a live online assessment — all in one course, with one booking and one set of automated emails.
How do presenters find out about their bookings?
When you assign a presenter to a session they receive a booking notification. Connected calendars help you check their availability, while Microsoft 365 can also add the session to Outlook and keep it updated automatically. Presenters can then use the presenter portal to view joining details, record attendance, add notes and share files with learners using their own account rather than your admin account.
Can I customise the reminder emails?
Completely. Every email in the schedule is a template you can edit, using merge fields for the learner’s name, dates, venue, presenter and joining link. You choose when each one sends (for example, seven days before and one day before) and add or remove emails as you like. Every email includes an add-to-calendar link.
What happens if a learner misses a session?
You mark them absent on the register and Teachbox takes it from there. You can send a different follow-up email to no-shows, hold back the certificate until your attendance criteria are met, and offer a place on a later date. Attendance is stored against the learner’s record for reporting.
How does attendance affect certificates?
Each course has its own attendance criteria — for example, attend both days of a two-day course, or complete three of four workshops. As soon as a learner meets the criteria their certificate is generated automatically using your design, or held for sign-off if you prefer to check first.
Does it work with our calendars and Zoom?
Yes. Google and Microsoft calendars can be used to check presenter availability, and Microsoft 365 can also keep assigned sessions updated in Outlook. Connect Zoom to create session meetings and learner joining links automatically, then bring attendance and feedback data back into Teachbox. See the integrations page for the full list.
